ASCA Members in attendance- None

Minutes:

-Members asked to review previous meeting minutes from 12/3/2016 on handout and available on the ASCA website

New Business:

-Update all Board members email addresses and contact information

All present members contact information is current

  • Allan went over the following election process with all members present.
  • Bios- all members seeking reelection please update your bios and email them to Allan
  • Election will proceed according to our bylaws
  • Millie Hartnett will be our election chair. She will receive, compile and announce election results at our State Shoot.

Ballots and bios will be emailed to all ASCA members that have emails registered with the NSCA. Members can vote one of three ways:

  • -print, fill out and mail ballot to Millie
  • -print, fill out, scan and email ballot to Millie
  • -print, fill out and drop ballot in ballot box in Tucson (ballot box will be in place in Tucson during the Western Regionals)

Sponsorships-

  • Sponsorship packages (handouts)

    Allan handed out the sponsorship packages. The only change from the years past is that we are requesting that our Gold and Platinum sponsors donate at least 50% of their donations in cash. In the past the sponsors can donate their choice of cash and/or merchandise equaling the required amount for their donation level.

  • What, if any, have already been secured?

    Fiocchi Ammunition has donated 10 flats of ammo for our raffle prizes, Qmaxx donated 2 bottles of Blu and 2 Blu pens, Rio Salado Sportsman’s Club donated $1000 in cash along with certificates for future shoots, range bags with ammo and other shooting accessories, Micki’s Shooters Supply has committed to being a sponsor as well as Iron City Polaris and Picacho Sporting Clays.
    Gary Yee mentioned some businesses that he was going to solicit

    We all need to be soliciting business for sponsorships, station sponsors and/or raffle prizes
    Allan asked that when securing sponsors please get their business logo and information and email it to him. We need this for T-shirts, banners and all other marketing materials

Back to class money-

    Back to class money will be Included in registration fees and are as follows:

  • -$20 back to class for 200 bird Main Event
  • -$10 back to class for all 100 bird events (FITASC, 5-Stand)
  • -$5 back to class for all 50 bird events (Super Sporting, daily 5-Stands and sub gauges)

Payouts- how to distribute the $10,000 added money

The following three potential scenarios for how to distribute the $10,000 in added monies to the State Shoot were handed out and discussed:

Scenario #1

   -Pay out $10,000 added monies in the main event only.
        -$600 to HOA for Main Event
        -$400 to Runner up for Main Event
        -$6600 to class and $2400 to concurrents
	    -$942.86 to each class
		*$471.43 to 1st in each class (50% of monies)
		*$282.86 to 2nd in each class (30% of monies)
		*$188.57 to 3rd in each class (20% of monies)
	    -$400.00 to each of the 6 concurrents
		*$250.00 to 1st in each concurrent
		*$150.000 to 2nd in each concurrent

Scenario #2

-Payout $10,000 added monies in both the main and FITASC
               -$450 to HOA for the Main Event only
               -$300 to Runner-up Main Event only
               -$7450 to class and $1800 to concurrents
                   -$532.14 to each class for each event
		       *$266.07 to 1st in each class for each event (50% of monies)
		       *$159.64 to 2nd in each class for each event (30% of monies)
		       *$106.43 to 3rd in each class for each event (20% of monies)
	           -$150.00 to each of the 6 concurrent classes
		       *$100.00 to 1st in each concurrent in each event
		       *$50.00 to 2nd in each concurrent in each event

Scenario #2a

-All remains the same as in scenario #2 except only the 1st place concurrent is paid $150 in all 6 concurrent classes for both the main event and FITASC

A vote was taken and scenario #2a won unanimously.

Trophies- distribution depth

We discussed the depth of trophies for the State Shoot. Allan handed out a proposed list of trophies to be given out at the State Shoot. The distribution list is as follows:

Trophy Distribution

-Main Event and FITASC
	-Resident Champion
	-Resident Runner Up
	-Non-Resident Champion
	-Non-Resident Runner Up
	-Resident awards for 1st and 2nd in each class
	-Non-resident awards for 1st in each class
	-Concurrent award for 1st in each class
-100 bird 5-stand
	-Resident awards for 1st and 2nd place in each class
	-Non-resident awards for 1st in each class
	-Concurrent award for 1st in each class
-All 50 bird 5-stands, sub gauge and Super Sporting events
	-No awards given (same as last year)

A vote was taken and passed unanimously to move forward with the above distribution of trophies for the State Shoot.

ASCA sponsored Super Sporting-

The ASCA will sponsor a 50-bird Super Sporting event to all competitors that shoot both the Main Event and FITASC. Shooters must shoot both of these events to receive the sponsored Super Sporting.

The following are items needed to be assigned to a board member to complete for the State Shoot. We asked for volunteers to take care of the following.

  • T-Shirts- acquire sponsor logos, aid in T-shirt design, pick up- Mark LeResche said he would take this task
  • Banners & Station sponsor signs- acquire sponsor logos, aid in design, pick up and deliver to Tucson prior to event.- Richard Edie said he would take on this task
  • Trophies (view, order, pickup, sort, distribute at awards ceremony & mail all unclaimed awards)- Mark LeResche along with Mark Madson will handle this task
  • Shoot numbers- Allan done
  • Giveaway bags- Allan done
  • Stainless steel ASCA logo tumblers- We discussed giving away ASCA logo double walled stainless steel tumblers in lieu of State Shoot pins. Allan showed a sample of a tumbler that he received from Promos Direct. Everyone present liked the idea and the tumbler sample. A vote was taken and it was a unanimous decision to move forward with the ASCA logo tumblers for a giveaway to all participants.
